Does your lab actually need a LIMS? probably not.
Most research labs under 20 people do not need a LIMS. You need one when regulation, instrument integration or validated workflows demand it — a real LIMS rollout is typically measured in months, not days. If none of that applies, a spreadsheet or a lightweight sample tracker covers you. Full disclosure: we sell one of the lighter options, and this page says so wherever it matters.
What is a LIMS, actually?
A Laboratory Information Management System runs a lab’s operations as a system of record: it connects to instruments and ingests their output, enforces validated workflows step by step, manages chain of custody to a standard an auditor will sign, and carries the compliance machinery — 21 CFR Part 11 electronic signatures, ISO 17025 documentation, CLIA requirements — that regulated work cannot legally skip.
That is what the money buys. It is also why a LIMS is an implementation project with configuration, training and validation, not an app you sign up for — vendors themselves describe rollouts in months. None of that is a criticism. It is a description of heavy machinery that exists because some labs genuinely need it.
The five-question test
Answer honestly. The questions are ordered by how decisive they are.
- Is your work regulated? Clinical samples, diagnostics, GxP, court-admissible results. If yes — stop here, you need a real LIMS. Nothing lighter is a lawful substitute.
- Must instruments write directly into the record? If sequencers or analyzers have to push results in automatically, that integration is LIMS territory.
- Do you need validated, enforced workflows?Not “we have a protocol” — software that refuses to let step 4 happen before step 3, with an audit trail.
- Are you more than about 20 people handling samples? Above that, coordination costs change shape and heavier structure starts paying rent.
- Does someone own the budget and the rollout? A LIMS needs a named owner for a months-long implementation, training and an annual contract. If nobody would own that, the purchase fails even if the need is real.
Two or more yes answers: you need a LIMS. One yes: maybe — talk to vendors, and take the regulated-work yes as decisive on its own. Zero: you do not need a LIMS. You may still need something better than memory, which is the last section.
If you need one: real LIMS vendors, named
A vendor page that says “you need a LIMS, but not those LIMS” is playing you. If the test said yes, evaluate the established systems: LabWare and LabVantage among the enterprise incumbents, Thermo Fisher SampleManager, Benchling on the biotech-platform side, QBench and CloudLIMS among the lighter cloud options. Budget real implementation time, ask each vendor for a customer in your field, and get the validation scope in writing.
